Our successful client company in Orange County is looking for a dynamic, motivated Executive Assistant to join their talented team. This person will be responsible for providing administrative and bookkeeping support to the Founder to ensure efficient operation in the office. This is for a full-time, permanent hire position.
Organize Executive calendar and schedule meetings
Manage email distribution and draft responses
Assist in scheduling meetings and appointments for the CEO
Maintain contact lists, organizational charts, phone lists, etc.
Produce and distribute correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Set Appointments for Executives and Vendors
Answer phone in a professional manner; record all pertinent information
Utilize appropriate office equipment (copier, binder, etc.)
Organize daily tasks and work area
Full Charge Bookkeeper including payroll and 401k
Other duties as assigned
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Ability to work autonomously
Experience with QuickBooks Pro and Paychex
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficiency in MS Office, Excel, and Outlook
